About VSS Groupe

Based in Lyon, VSS is celebrating its 10th anniversary this year. Founded in 2015 by Ghislain and Benjamin, the company now has six permanent employees and an average of two apprentices.

VSS specializes in audiovisual services and focuses on two key areas:

  1. Technical services for businesses: video capture, sound, and lighting for events such as seminars or conferences. VSS also offers additional services, such as electrical distribution for trade fairs.
  2. DJ equipment rental, exclusively intended for professionals such as concert halls, festivals, or event organizers.

They have worked with renowned clients such as La Folie Douce, Woodstower, and DreamNation.

What sets them apart is their human and personalized approach. "The greatest service we can provide to our customers is really advice and support."

Their responsibilities

Ghislain and Benjamin share their responsibilities:

  • Ghislain:is responsible for all operational aspects of the company, as well as dry rentals. He ensures that customers get impeccable equipment delivered on time.
  • Benjamin:oversees administration, technical services, and customer advice, ensuring that everything runs smoothly and securely.

Their common mission? To create a positive work environment for their employees while maintaining quality service for their customers.

Challenges: When Excel is no longer enough

In 2018, VSS was facing increasing difficulties with their Excel-based equipment management system:

  • Complex equipment tracking: It was difficult to be sure if equipment was available, out for repair, or rented out.
  • Risk of data loss: A file left open and unsaved, or poorly synchronized, could lead to costly errors, both financially and in terms of their reputation.
  • Costly subrentals: Due to a lack of visibility into their inventory, they often had to rely on subrentals which ultimately increased their expenses.

“When we had an oversight or a last-minute change, rather than risk not having it [the equipment] in stock, we subrent. This represented quite significant costs.”

As the company grew and their projects increased, Excel simply wasn't enough anymore. VSS needed a more powerful tool to manage their projects.
