If you’re using multiple tools to track your crew’s paid time off (PTO), you may be running into issues like inaccurate schedules, booking crew when they’ve booked time off, or simply errors in copying data from one tool to another.
There’s a better way. Introducing Rentman’s new Leave management feature, designed to make managing your leave-related processes smoother by keeping everything in one place and accessible across your teams. And it’s already available for Crew Scheduling Pro users.
1. Creating a leave request
Crew members can now create leave requests by clicking on “Request leave”, selecting the leave type, and adding the relevant dates and details.
Leave requests can be made in 4 modules:
- Leave requests
- My schedule
- Crew members
- Crew planner

Note: Only crew members with the right permissions can create leave requests. The modules they have access to will also depend on their user role permissions.
2. Approving & managing leave requests
Once a request is created, relevant managers can approve, deny, or cancel the request.
- If a leave is approved, the crew member’s leave balance will be updated accordingly, and they will be marked as “unavailable” on those dates.
- If a leave is declined, no changes will be applied to the crew member’s leave balance
Note: Crew members will only be marked as unavailable if the “hour type” selected blocks availability. This is explained in the following section.

3. Creating custom leave types
The Leave management feature allows crew members to request holidays or sick leaves by default.
If you would like to create other types of leave (e.g., for training), you can do so in the Configuration module.
When creating a leave type, you can choose whether the leave:
- Blocks availability. This will mark the crew member as unavailable for the duration of the leave
- Requires approval. This indicates whether the leave needs to be approved by a manager
- Has an hourly balance. This determines whether the leave should be deducted from PTO
- Has a payroll code. This code can be used for payroll when exporting hours.
Once the leave type is created, it will appear as an option whenever a crew member creates a new leave request.
4. Tracking leave balances
The leave balances of every crew member can now be found in the Leave requests sub-module and the Administrative tab of the Crew members module.
Crew members can access this information at any time to see how much time off they have available.
How to get access to this feature
This feature is only available for users with Rentman’s Crew Scheduling Pro Product and has already been added to your account. If you don’t have Crew Scheduling Pro, you will need to upgrade your plan.
